Job Description:
As an Administrative Assistant, you will play a crucial role in the daily operations of our clinic, ensuring smooth and efficient administrative support for our therapists and patients. You will be the first point of contact for patients, helping to create a welcoming and organized environment. This position requires excellent communication skills, organizational abilities, and a passion for providing support in a healthcare setting.
Key Responsibilities:**
– Greet and assist patients and visitors in a friendly and professional manner
– Answer phone calls, respond to emails, and schedule appointments for therapy sessions
– Maintain patient records and files, ensuring confidentiality and compliance with HIPAA regulations
– Process patient billing and insurance information, ensuring accuracy and timely submission
– Assist in the preparation and management of therapy materials and documentation
– Support therapists with administrative tasks, including scheduling therapy and follow-up appointments
– Handle office supplies inventory and order as necessary
– Manage patient intake forms, ensuring all necessary documents are completed
– Coordinate with insurance providers for pre-authorizations and verifications
– Assist in maintaining a clean and organized office environment
Qualifications:
– High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
– Previous experience in an administrative or healthcare setting preferred
– Strong organizational skills with attention to detail
– Proficient in Microsoft Office Suite (Word, Excel, Outlook)
– Excellent written and verbal communication skills
– Ability to multitask and prioritize in a fast-paced environment
– Friendly, approachable, and professional demeanor
– Strong problem-solving and customer service skills
